Membership and Newsletter Questions

1. How do I join GNO?

Joining GNO requires no annual dues, or commitment to attend any monthly meeting. Come when something looks fun and of interest to you that fits your schedule.

Our processes are designed to allow members to self-register for our group and update your profile information and unsubscribe at any time. Most members are able to do so with little trouble.

After you Join GNO you will receive our Newsletter (typically once a week) which will provide information on upcoming events. If you are interested in attending an event, please sign up by opening the invitation and RSVPing Yes. You will receive a confirmation email when you RSVP, please save this email, to keep track and allow you to change your RSVP to No if your plans change after you sign up.

First add the email: GNO@GirlsNightOutHSV.com to your contact list/ address book before you complete the form. This helps prevent our emails, event RSVP confirmation and reminders and Newsletters from going to your junk/ spam folder.

Then fill out the “Join GNO” form. It is a two-step sign up process.

  1. Fill out the form and submit. Register here.
  2. After you complete and submit the Join GNO form, you will then receive a confirmation email with a confirmation link.  This is a standard safety step to confirm that the email provided belongs to the person who submitted the form.
2. I signed up to Join GNO and didn’t receive a confirmation email, what do I do?

If you do NOT receive the confirmation email after several hours, look in your spam/junk mail folder for the confirmation email.

If you haven’t received a confirmation after a day, the next step would be to try again.

Be sure that you correctly added our email: GNO@GirlsNightOutHSV.com to your contact list/ address book.

It may also be possible that you mistyped your email address.

If you follow the instructions above and still do not receive a confirmation email, please email us at GNO@GirlsNightOutHSV.com.

Please be sure to include your name, email and phone number a description of what you have done so far.  Someone will be back in touch to assist you. We have multiple volunteers monitoring the GNO email, and will try to respond as soon as possible. You should expect to hear back within a day or so.

3. My email or phone number changed, how do I update them?

GNO is set up so that you can update your own profile.  If your email changes and you wish to continue to receive the GNO Newsletter, or your phone number follow the instructions below:

  1. Find a previous copy of the GNO Newsletter that was mailed to you. Each Newsletter has links which are specific to your GNO profile.
  2. The links are located at the bottom of the newsletter. Locate and Click on the link “Update Subscription Preferences”.  This brings up a form where you are able to update your email, phone number(s), gate preferences and email type HTML or Plain Text. Make your changes, and click “Update Profile”.

Note:  It is helpful for us to have your phone number in case we have any last minute changes to an event that you are attending and we don’t have time to contact you by email.

All of your information is kept confidential and is not shared for any purpose other than GNO Newsletter and Event related contact.

4. I no longer wish to receive the GNO Newsletters, what do I do?

GNO is set up so that you can Unsubscribe at any time.  To do so follow the instructions below:

  1. Find a previous copy of the GNO Newsletter that was mailed to you. Each Newsletter has links which are specific to your GNO profile.
  2. The links are located at the bottom of the newsletter. Locate and Click on the link “Unsubscribe from this List”.  This immediately removes you from our Newsletter and mailing list.
5. I accidently removed myself from the GNO Newsletter mailing list, how do I rejoin?

Follow the instructions in the “How do I Join GNO?” section above.

6. I’m no longer receiving GNO Newsletters and want to, what do I do?

This may be because your mail provider is blocking our email. Check your spam / junk mail folder to see if our emails are ending up there.

Check your contact list / address book and add the email: GNO@GirlsNightOutHSV.com. This helps prevent our emails, event RSVP confirmation and reminders and Newsletters from going to your junk/ spam folder.

You might also go back and try to rejoin our group by following the instructions in the “How to I Join GNO?” section above. If you have been accidently unsubscribe or your email address was entered incorrectly it will add you. If you changed your email, see the section “My email or phone number changed, how to I update them” above.

If you try to join and it says that your email is already taken, it is likely an issue with your email provider blocking GNO@GirlsNightOutHSV.com. If you’ve followed the steps to add our email to your contacts and that doesn’t help, contact your email provider for assistance on how to unblock our address and your Newsletters.

Event Questions

1. Where can I find the schedule of events?

We have several ways that you can keep up with GNO events.

  1. Check out the What’s Happening” calendar to see all events tentatively planned, whether they have been publicized or not.
  2. Sign up for our weekly Newsletter HERE to fill out the form.
  3. Visit our Website: GirlsNightOutHSV.com to see events open for registration
  4. Visit our Facebook Group and ask to join. Search for GirlsNightOut – HSV
2. How do I sign up for an Event?

Our processes are designed to allow members to self-register for events.

There are 4 places you can find out about upcoming events and sign-up. Each place provides a link for you to find out more information and to sign up (if required) for an event and/or carpool (when offered).

To find information details for a specific event and find the RSVP link: need:

  • Click on the event name on the right of the home page
  • Click the Event link at the top of the home page  to view a list of events either in a  calendar or List view.

The website shows events up to about 6 weeks in advance.

  1. Newsletter: if you Join GNO you essentially are signing up to receive our weekly email which contains our upcoming events.

During the holidays, you may receive the newsletter less frequently. This is because  we know everyone busy around (Dec – Jan) so  we have limited events. Newsletters are send out Newsletters only as needed to publicize events.

If you are looking to find a list of planned events, which are not yet published,  you can view them on the calendar of events. Most RSVP information and details for events aren’t published until 3-5 weeks prior to the event. This calendar allows you see dates and a general description for upcoming events that haven’t been published yet, so you can Save that Date.  Once the events are published on the website you will also be able to see the event info in the other places.

The calendar also contains walks planned by our walking group, community events etc.

Once an event has been published you will be able to sign up by clicking the RSVP link for the event you wish to attend. This will bring up a Punchbowl invitation which contains all the details about the event and a list of To Do items for you to complete.

3. How do I know that I have successfully signed up for an Event?

After you sign up you will receive a confirmation email, with the subject “RSVP Confirmation: Event Name”.  If you don’t receive this “RSVP Confirmation”email try signing up again to make sure you are registered.

Please save this confirmation email. This will allow you to easily to contact the hostess with questions or change your RSVP should you need to.

4. Why is it important to save my RSVP Confirmation email?

Saving the confirmation emails will make it easier for you to make changes to your Event RSVP and Potluck if need be at a later date. It will also provide an easy way for you to remember which events you have signed up for. You may consider creating a mail folder “GNO Events” and saving your GNO Confirmation emails there.

If you need to change

  • Your RSVP
  • View To-Do list” to update the “Pot Luck List” (if applicable)
  • Send a message to the hostess in the “View Message Board

It is easy to do so by clicking on the link: “Update RSVP” at bottom of the confirmation email

5. How do I get added to a wait list if an event is full?

Due to size limitations we sometimes must limit the number of attendees to an event. If you RSVP an there are no spots left. We often have guests cancel at the last minute, so you can register on the wait list by date stamp.

To add your name to a wait list email GNO@GirlsNightOutHSV.com and provide the following information:

  1. The name of the event
  2. Your name
  3. Your phone number (so if at the last minute someone is unable to attend we can contact you)
  4. Your email

If anyone cancels, we will attempt to call the first person on the wait list. If we can’t contact someone, we reserve the right to contact the next person on the list depending upon how much time before the event the cancellation occurs. If it occurs far in advance we will wait a reasonable amount of time to hear back from you, before we contact the next person.

6. A link for an event doesn’t work, what do I do?

Email GNO@GirlsNightOutHSV.com and include where the link that you clicked on is located:

  1. The website
  2. The Newsletter: Include the date of the Newsletter
  3. Facebook
  4. The event Calendar
  5. The Invitation once you opened: Include what page of the invitation
  6. An email: Include the date and subject of the email

Please include the Event Name and what specific link (to Invitation, Carpool or specify other) you clicked on that is not working.

7. My friend would like to attend, how can she sign up?

There are several ways for someone to sign up if they don’t receive the newsletter. A unique email is required in order to sign up.

  1. You may forward them the newsletter and they can click on the event’s RSVP link to sign up.
  2. They can visit our website and find the RSVP link sign up.
8. I would like to sign up for an event but I do not have an email address

Our processes require you to have a valid email address to RSVP for an event.  Our communication and software all required that you have an email account. This allows members to be self-service.

If you do not have an email account, you can open a free account on various services including Gmail or Yahoo. If you don’t have a computer or use email at all it will be very difficult of you to participate unless you have friend that you are attending with who can manage your invitation for you and notify you of any ongoing communication about an event. We do not personally call members with updates.

It is a guest’s responsibility to keep up to date via emails and to notify  us know if you are unable to attend an event.

Do not use your name with someone else’s email address or they will have problems RSVPing to events.

9. I’m signed up for an event, where do I find directions?

Both the event invitation itself and the website page for the event will have the address to an event and links to maps to help you locate the venue. Visit GirlsNightOutHSV.com/events and find your event.

10. How are communications about event-related information managed?

All of our communications for Events are managed via email. It is your responsibility to check your email periodically for updates and important information about events.  We use our invitation software to email updates to people who have RSVPd “YES” to an event to notify guests about any event updates.

We do not call or contact individual members with updates.

If you need to contact us regarding a specific event, your best choice is to email GNO@GirlsNightOutHSV.com  . You may also post a note on the event’s Message Board which is inside the invitation, under the “ToDo” list. Both of which are monitored periodically.

General questions may be posted on our Facebook page. Please do Not Message individuals on Facebook with questions. You will have better results posting a general question on our FB Wall.

You will receive a quicker response communicating via the GNO email or Facebook.

Volunteers monitor both Facebook and the GNO email on a rotating basis.

11. I signed up for an event and am unable to attend, what do I do?

We appreciate if you could notify us if you determine that you are unable to attend an event as soon as possible, especially if there is a wait list for the event. To do so, please complete the following steps:

  1. If there is a wait list regardless of when you cancel, please email GNO@GirlsNightOutHSV.com so that the event coordinator can contact someone on the wait list to fill your spot.
  2. If you are cancelling 2 or more days in advance and there is no wait list, please update your RSVP on the Invitation (see below on how to change RSVP)
  3. If you are cancelling less than 2 days prior to the event and there is no wait list, please change your RSVP on the invitation AND email GNO@GirlsNightOutHSV.com to let us know you can’t make it.
  4. Regardless of the timeframe, if you are unable to attend an event please be sure to:
    • If you signed up to Carpool, visit the carpool section for instructions on how to remove yourself
    • If you signed up to bring a PotLuck item, change your RVSP on the invitation and visit the “ToDo > Potluck” section and remove yourself from the list. Email the GNO@GirlsNightOutHSV.com to let them know what you had signed up to bring so the event coordinator is aware of the change.
12. How do I change my RSVP for an Event?

If you find that you are unable attend, please return to the invitation link and update your RSVP from Yes to No.

You can do so by accessing the invitation for that event either through the “RSVP Confirmation” email or by clicking on the link to the RSVP for the event which may be found on the GNO website on our events page. GirlsNightOutHSV.com/events/

After you click on the RSVP link and open the envelope, Continue to the page with the RVSP and enter your name and email. You will then see where you entered YES and can change it to NO.

Remember to check the Potluck list and update your status as necessary. If you signed up to bring something, kindly notify the Hostess of the event sending a note to them by replying to your invitation or GNO@GirlsNightOutHSV.com.

If you signed up to Carpool, remember to remove yourself from the carpool. Click on the link for the Carpool and refer to the section  ”I signed up to Carpool and I am unable to attend, what do I do?”

13.When I try to sign up for an event I get an error that the email is already in use. What do I do?

Email the GNO@GirlsNightOutHSV.com account your name and email address. Let them know what error you are getting.    They appropriate person will be contacted to assist you.

Sometimes when you RSVP if you accidently type in the wrong name with your email, it won’t let you type a different name.  Someone with access to the Invitation software will need to go in and search for your email to see what name you used to login.

To do this they will go into the invitation to the “Add more Guests” screen and look in the “Address Book” and search for your email. They will then see what name is associated with your email and let you know what name you need to use to RSVP.

Carpool Questions

1. Where do I sign up to carpool?

We typically but not always, create self-service carpools links for events outside of the Village. We use software that allows people who wish to carpool to sign up as Drivers, Passengers or add themselves to a Wait List (if they want a ride and there are no drivers yet).

It is likely that we will not create carpool links to events within the Village.

Depending upon which media you are using to view the event information and RSVP (sign up to attend_, you will find the carpool link in one of several places:

  1. When you RSVP to the event, either from the newsletter, GNO Calendar or Facebook page, the carpool link is inside the Event details section on the first page.
    • You will need to click “Read more” as it is typically at the bottom, when you click on the Invitation link to open to Invitation.
  2. If you sign up from the website, the carpool link will also be on the page specific to the event you wish to attend. GirlsNightOutHSV.com/events and the carpool link will be on that page.
2. Where can I learn how to use the Carpool software?

To learn more about how to use the Carpool software, please visit the link on the GNO website: GirlsNightOuthHSV.com/carpooling/   See the Carpool demo video and start at 1:15. To do this drag the red bar until the number shows: 1:18 of 4:58.

IMPORTANT: Instead of typing HSV in the City box when you sign up, please enter the area of the Village where you would like to carpool from. For Example: East, West, Center, Any. If you are the driver, enter the area from which you plan to meet.

It is the responsibility of the driver, passenger and wait list members to monitor the carpool and update their status.

If you need a ride, for example because you are unable to drive at night, and there is no carpool listed for an event, please email us at GNO@GirlsNightOutHSV.com.  Indicate the general area where you live. If in the Village give name of the closest gate, golf course, lake or landmark.  We will attempt to locate another person going from your general area. We do not promise that we can find a ride for you, but we will try to accommodate your needs.

3. I want to drive, what do I do?

If you wish to carpool and plan to drive, please go to the carpool link and add yourself as a driver.

Use the City box to indicate the general area that you plan to have people meet. For example; East, West, Center, etc.

Enter the exact location and time you plan to leave in the Notes section. Be sure to include your Cell phone number in the contacts list, so that if someone is unable to come or running late they can call to let you know. If you volunteer to drive, you are the designated driver and should follow driving rules and regulations.

You are responsible for managing your carpool with the other carpoolers, so please check back the day prior to the event to confirm all is a go.

4. I need a ride and don’t want to drive, what do I do?

If you need a ride and there is a driver already created, you may add yourself to the driver’s car.

Be sure to enter your name and cell phone number. In the city put the locations you are willing to drive to in order to meet your driver. e.g. East, Center.

Please be prompt when meeting the other carpoolers.

If for some reason you are unable to attend or add yourself at the last moment (1 day or less from the event), please call the driver to alert them to your change of plans so they are not waiting for you. If you determine you can’t go 2 or more days prior to the event, please remove yourself from the carpool.

You are responsible for managing your carpool with the other carpoolers, so please check back the day prior to the event to confirm all is a go.

5. I added myself to the wait list, what do I do?

If you do not see any drivers signed up from the area you wish to travel, please add yourself to the wait list. Add your name, phone number and in the city box, put the area(s) you would be willing to meet, eg. Center, East, West, or any where.

You are responsible for monitoring the carpool site to see if someone signs up to drive from an area that you wish to leave from.  If they do, you may drag yourself into their car or add your name as a passenger and delete yourself as a Wait List.

6. I signed up to Carpool and I am unable to attend, what do I do?

Open the invitation and click on the Carpool link. You may do so in one of the following ways:

  1. Open the Confirmation email to access the Invitation or
  2. Visit the website to locate the event’s carpool invitation link: GirlsNightOutHSV.com/events

I signed up as a Driver

1. Find your name as a driver.

  • For advanced changes (2 days or less), email your passengers if you can no longer drive and ask if any of them are able to drive in your place.
  • For any last minute changes (1 day or less from event) please call your passengers to let them know you will not be available to drive.

2. Double click to open the window with your name and information.
3. Scroll to the bottom of the window and click on Delete.

 

I signed up as a Passenger

1. Find your name as a passenger.

  • For advanced changes (2 days or less), please remove yourself from the carpool.
  • For any last minute changes (1 day or less from event) please call the driver to alert them to your change of plans so they are not waiting for you.

2. Double click to open the window with your name and information.
3. Scroll to the bottom of the window and click on Delete.

 

I am on the Wait List

1. Find your name on the wait list.
2. Double click to open the window with your name and information.
3. Scroll to the bottom of the window and click on Delete. DELETE yourself so we know you no longer need a ride.

Other Questions

1. I have a question not listed, who do I contact?

The best place for you to receive an answer is the Girls’ Night Out email at GNO@GirlsNightOutHSV.com. We have a team of people who rotate monitoring the email by the week. They will check the mail periodically and know who to contact to answer your questions.

For last minute questions about an event the Event coordinators will be monitoring the GNO email and the Event Message boards to assist you.  The phone number listed on the invitation is generally the number for the venue itself, it is meant for you to call if you get lost.

If it is a general question and you belong to our Facebook group, you may wish to ask the question on our Closed Facebook group GirlsNightOut – HSV. You will need to be a member first.

Please do not email, text, call or FB message someone with a question, as you may not get a quick response and we prefer to use the communication channels in place to help spread the load between our volunteers.

2. I would like to participate in the walking group, how do I determine when the next walk will be?

Our walking group has a schedule of walks at various times and trails around the village. Bookmark this page to have a quick reference to events and walking schedule for the next 4-6 months: https://teamup.com/ks4ceccfd391bbb4cb

Note: The schedule does not guarantee that someone will be there the day you arrive. The best way to verify that someone will be walking on a specific day is to post a note on our Facebook page to ask when people are available to walk. This varies dependent upon weather and people’s schedules.

Our FB group is closed, you can locate it by searching for GirlsNightOut – HSV and asking to join.

3. I’d like to be a GNO Volunteer, where do I sign up?

We have plenty of opportunities to volunteer and be a member of a team for GNO. Email GNO@GirlsNightOutHSV.com for more info or talk to some of our volunteers.
